Job Overview
The Management Assistant – CEO Office will act as an operational backbone for the CEO’s office, ensuring high levels of efficiency, structure, and discipline in daily activities. The role is designed for an MBA graduate who understands business processes, operational flow, and execution discipline, and who can bring structure to communication, scheduling, follow-ups, and reporting.
This is not just an administrative role; it is an operations-enablement role, responsible for improving productivity, reducing delays, and ensuring the CEO’s time and priorities are used effectively.
Key Responsibilities
1. CEO Office Operations Management
- Ensure smooth and efficient functioning of the CEO’s office on a daily basis.
- Build and maintain systems for:
- Task tracking
- Follow-ups
- Priority management
- Documentation flow
- Act as a single coordination point between the CEO and internal departments.
2. Calendar, Priority & Time Optimization
- Manage the CEO’s schedule with focus on priority alignment.
- Proactively avoid conflicts and idle gaps.
- Ensure meetings are meaningful and prepared for:
- Collect agendas
- Share pre-reads
- Share pre-reads
- Track utilization of CEO’s time and suggest improvements.
3. Communication & Information Flow
- Screen, prioritize, and organize:
- Emails
- Calls
- Messages
- Meeting requests
- Draft professional emails, notes, and follow-ups.
- Ensure no communication gaps exist between CEO and teams.
- Maintain confidentiality and discretion.
4. Meeting Management & Execution Control
- Prepare structured agendas for meetings.
- Take minutes of meetings (MoM).
- Track action points using simple tools (Excel, Sheets, Trello, Notion, etc.).
- Follow up with stakeholders until closure.
- Report execution status to CEO.
5. Operational Efficiency & Process Discipline
- Identify operational gaps and inefficiencies in workflows.
- Suggest improvements in:
- Communication cycles
- Approval processes
- Reporting structures
- File management
- Build simple SOPs for CEO office processes.
- Implement checklists and process controls.
This is where the MBA mindset is critical.
6. Data, Reporting & Dashboards
- Prepare:
- Weekly task summaries
- Meeting outcome reports
- Simple operational dashboards
- Consolidate data from departments when required.
- Present concise, decision-ready information to CEO.
7. Travel & Logistics Operations
- Manage:
- Ticket booking
- Hotel arrangements
- Travel itineraries
- Expense documentation
- Ensure cost efficiency and timely planning.
8. Documentation & Records Governance
- Maintain structured filing system:
- Agreements
- Approvals
- Confidential documents
- Strategic notes
- Ensure quick retrieval and audit readiness
9. Internal Coordination & Execution Support
- Follow up on CEO instructions to:
- Sales
- Operations
- Finance
- HR
- Track completion timelines.
- Highlight delays or risks early.
10. Event & Engagement Support
- Support planning and execution of:
- Leadership meetings
- Vendor interactions
- Client visits
- Internal reviews
Educational Qualification
- MBA (Operations / General Management / Strategy / HR / Finance preferred).
- Or a graduate with strong operational exposure + management certifications
Experience
- 1 to 4 years of experience in:
- Business coordination
- Operations support
- Admin with process exposure
- Founder/Director office roles
